How to get school email IDs in India

If you sell to schools, the first practical question is how to reach the principal or the office by email. Schools in India publish an email address far more often than people assume: in our database 88,554 of 199,730 education institutions (44%) have one on record, and 118,486 name the principal or a primary contact. This guide covers the four ways to collect school email IDs, what each costs in time or money, and how to turn a raw list into something a sales team can use.

1. Board affiliation registries

The CBSE publishes affiliation data for every affiliated school, and the CISCE lists ICSE and ISC schools. Both include the school's declared email address and, for CBSE, the affiliation number. This is the most authoritative source because the school itself files the record with the board. The limits: you get one school at a time unless you build an extractor, the data is organised by affiliation rather than by district or city, and state board schools are not covered at all.

2. School websites and directories

Most schools with a website publish a contact page, and national business directories list the email many schools submit themselves. Searching them one by one works for a short list of target schools and fails at scale: a territory of a few hundred schools takes days, formats vary, and the same school appears under several names. Directory listings also go stale, so every address needs a second source before it is worth sending to.

3. Buying a ready school email list

List vendors sell spreadsheets of school contacts by state or city. Price and quality vary widely; the questions to ask are where the rows came from, when each row was last checked, whether duplicates were removed, and whether you can preview real rows before paying. 4. A searchable database with export

Before you send

• Write to the institution, not to a person's private address: the emails on record are the ones schools publish to be contacted.
• Follow the rules that apply to commercial email and calls in India, honour unsubscribe requests, and keep your sending volume sensible so your domain's reputation survives the first campaign.
• Prefer records with a phone number as well as an email (186,481 institutions have one); a call often reaches a principal faster than an inbox does.
• If an address bounces, the record usually still gives you a phone number and a website, and corrections flow into future exports.
